March 18th, 2025 GENERAL MEETING NOTES!

  • TLDR; WE HIT QUORUM!


  • Zoom link has been set up for those who are unable to join in person

  • Proposed Amendments;

    • 1st) extend the Master of Coin to a two year term. Why?

      • Finances take a long time – if they can hold it for two terms that would be the most beneficial

      • A lot; the transition between the master of coins is a lot , could not learn as quickly as they hoped to → finances are meant to be long term; we want to talk about money management 

        • Would discourage 4th/5th years from applying is the one con

      • Would be useful to have someone who is qualified and knowing it instead

        • Apprentice Master of Coin? After two years, someone has to learn

          • It is an ELECTED position so it would not be the best to work around

      • If quorum is passed, it will take effect next term

      • Transition report must be standardized

        • Guarantee that you will help the next Master of Coin

      • Elections happen during March so the next MoC can learn during this transition period → given Formal

      • Possibility of having two master of coins alternating

        • Similar to SPA and JPA like an upper and lower year → can move up to the role when upper year graduates

          • Mix the systems together; alternating the years to allow for the continuity

          • Too much work; mentor and apprentice role but tricky again cause of election 

          • Possibly like SPA and JPA, but one year term and hope that the junior person gets elected

          • Can be like SRA Observer and SRA

      • Note: that there are roles that some roles are not elected but appointed in; ex. Like Alethia/Melange person

        • Elect a treasurer from a year from now; but what if the person cannot commit to the role then?

          • Extending the role term would allow to prepare for the future

          • Possibly SPA and JPA, but one year term and hope that the junior person gets elected

        • If someone is getting elected to be MoC next year, and then select an apprentice to shadow – how would this work? 

          • Two conversations going on; 1) extending the term to two years 2) no extension of term, but having a shadow 

          • Starting in Winter semester so we know people can commit

          • Leah: do it when we are doing Level 1 and Level 5 elections (Fall term)

          • How can we ensure a smooth transition if there is a MoC elected every year? 2-year term (1 year as observation, 1 year as MoC)

        • Summary

          • We are voting on YES to the amendment

          • Stipulation; in the Fall there would be another election for a second (junior) MoC, which would impact the NEXT academic year 

          • PASSED

    • 2nd) Equity Officer Role! 

      • A role that would provide recommendations to SASSex on issues of EDI and accessibility which arise from the SASS community

      • Background

        • A lot of other faculties have this position – strange that SASS doesn't

        • A lot of the faculties knew the position existed but didn’t know their role

        • OUR GOAL: to have a person/people that works with Level reps and SRA observer to address any EDI and accessibility issues (Equity Subcommittee)

          • The role is vague as of right now

          • They would provide a space to voice complaints, a way to address and take actionable steps, an anonymous record, a year plan, and an annual Equity Report to SASS

        • Summary:

          • We are voting on YES to the amendment

  • Introduction of SASS Roles

    • CEO OF SASS – Leah

      • Plan meetings, coordinate SASSex, figure out rooms, yell at the MSU president

      • Get to be a part of president council – can take up the time of the MSU presidents

        • An advocacy role when looking at your community

    • VP Functions

      • Athena and Oyin

        • Milk and Cookies, helping JPA figure out SIB Matching

        • SUCCESSFULLY COMPLETED 4 M&Cs → connecting students to resources

          • Committee of the Vice President; VP Social 

          • Oversee the SIB program; currently working on it and helping those who DIDN’T get SIBs

    • VP Social

      • Maddy and Sofie

        • More non-academic events to provide an academic break

          • Trivia, Kaufeehaus, Halloween!

        • Inter-program events (usually with iSci, HealthSci, Nursing)

        • BUYS US PIZZA

    • Master of Coin

      • Ahastan

        • Biggest thing; budgeting

          • Any time there is a SASS event, the role requires you to give mone/reimburse

        • Makes the budget for the year; figures out the SASS fees → NUMBER CRUNCHHHH

          • Provide and create financial reports; look over the SASS bank account; figuring out if we are spending or saving money

    • Communications

      • Arthy

        • Helps with promotion of events on social media, takes meeting minutes, temporarily taking the role of Web Admin to manage SASSWeb, constant communication with SASS execs to figure out details for promotion of events and policies

    • Level Reps

      • Level 2: Elena and Rameesha

        • Plan events and advocating for their year

        • Cocoa and cram, Paint Night and Destressor, 

        • Stop ghosting your level reps

        • Look forward to one more collab event with Level 1

      • Level 3: Sarah and Ishmeet

        • SIGN UP FOR PLANETARIUM

      • Level 4: Lauren and Josh

        • Plan events: example MarioKart

        • MERCHHHHHHHHHHH → did you get an email from Lauren? YES YOU DID! There is a risk of losing money if those who filled out the pre-order form DO not buy merch

          • This year, they sent out a form to ALL about merch designs and what type of merch people want to see; long process, but dependent on your style!

        • Graduating GIFT! (crayyy) → will talk to 4th years soon 

    • Emily - SRA Observer

      • The description is very short and very vague

        • Approached most things as a team with Rushan (SRA)

          • Made IG posts, holding office hours, held and info session

    • Community Chairs

      • Graeme and Kiran 

      • Also taking over the role of ArtShow → gets appointed

    • JPA and SPA (Sarah and Sam)

      • Plan Agoras → 1 per semester

        • Encouraging upper and lower years to talk to one another about the program and academics; ACADEMIC ADVOCACY

      • JPA helps with SIB matching! 

    • Athletics and Recreation

      • Jonah and Avery

        • Fun things; sport nights (3 so far!)

        • Rec side; poker night

        • Bring the sport, bring the activity – Jonah Hall, 2025

    • FORMAL CONVENORS

      • JACK AND JULIA (SORRY FOR FORGETTING)

      • In charge of semi and formal 

        • Formal venues, security, insurance, hiring DJs and photographers

        • Lot of budgeting and emailing 

    • Question: What is the difference between Equity Officer and JPA and SPA

      • PAs are more academic focused, and revolve around ArtSci

      • EDI officer talks more about things OUTSIDE of academics
